Job Summary

Provide day-to-day administrative/clerical support to ensure efficient operation of the CLIMB office and programs. Supports the Director and Assistant Director and employees through a variety of tasks related to planning, coordinating, and organizing office, faculty, and student-related programs, projects and initiatives. Responsible for confidential and time sensitive material. Must be able to meet deadlines and work independently on assigned projects and tasks. Must demonstrate strong interpersonal, written, and oral communication skills.

Essential Duties & Responsibilities

The incumbent will perform a variety of clerical tasks required for the smooth operation of the CLIMB Office, including:

§ Provide direct services to CLIMB Program staff, faculty, and adult learners

§ Receive and route incoming calls and take messages

§ Facilitate the Intake process for new and returning adult learners

§ Assist Adult learners navigate the processes and procedures from admissions to class scheduling

§ Organize and schedule meetings and appointments and travel arrangements for staff

§ Maintain and keep an up-to-date contact list for various constituencies

§ Prepare and distribute correspondence memos, letters, notices, etc. as needed

§ Assist in the preparation of regularly scheduled reports

§ Develop and maintain a filing system

§ Order office supplies

§ Submit and reconcile expense reports and prepare and monitor invoices

§ Provide general support to visitors

§ Provide information by answering questions and requests

§ Conduct research for special projects as assigned

§ Generate reports and create PowerPoint presentations

§ Maintain social media platforms for CLIMB Program

§ Ensure operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques

§ Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies

§ Contribute to team effort by accomplishing related results as needed

§ Carry out administrative duties such as filing, typing, copying, binding, scanning etc.

§ Book conference calls, rooms, couriers, event space, etc.

§ Maintain professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies

§ Organize travel arrangements for senior managers

§ Write letters and emails on behalf of other office staff

§ Handle sensitive information in a confidential manner

§ Take accurate minutes of meetings

§ Coordinate office protocols, processes and procedures

§ Reply to email, telephone calls or face to face inquiries

§ Resolve administrative problems

§ Receive, sort and distribute the mail

§ Manage CLIMB Director’s appointments

§ Oversee and supervise the work of junior staff (i.e. work study students and interns)

§ Maintain up-to-date CLIMB Program-related calendar (Calendar of Annuals)

§ Work collaboratively across multiple departments with other university personnel

Required Knowledge, Skills and Abilities

Associate Degree from a regionally accredited institution required with experience in delivering adult education and learning services

§ Exceptional organizational skills and ability to prioritize

§ Experience in successful task execution and multi-tasking

§ Ability to maintain high-performance work production in a fast-paced, synergistic environment

§ Excellent communication, critical thinking, and problem-solving skills

§ Ability to work collaboratively with people from all walks of life

§ Ability to work independently (when necessary) and as an effective team member (when necessary)
